How check printing works

Plenty of stores still pay consignors by check, and the annoying part was never the check — it was hand-typing amounts, keeping the numbers straight, and stapling a list of items to the back. ResaleOS prints the check and the itemised payout stub together, on your bank's pre-printed stock or on blank security paper, and keeps the check number sequence for you.

Set it up once

Settings → Account defaults → Check printing. Bank accounts, check templates, and the default printer for this computer.

Print from Accounts

Tick the consignors you owe, open the actions menu and choose Print checks. The Payouts table has the same button, and a single consignor can be printed from their payout modal.

Track it until it clears

Accounts → Payouts → History keeps an Awaiting clearing list of every check that is printed or mailed but not yet recorded as a payout.

Add the bank account your checks are drawn from

Give it a nickname you will recognise in a picker (“Operating — Wichita”), set Next check number to match the next blank in your drawer, and add a signature — draw it, type it, or upload a PNG. Leave the signature empty and the check prints a blank line for you to sign by hand.

Bank name, address, routing number, account number, fractional routing and the negotiability notice (“VOID AFTER 6 MONTHS”) are only used when a template prints on blank stock — pre-printed stock already carries all of it. Once saved, ResaleOS shows you only the last four digits of the routing and account numbers; the full values never leave the server except to draw the MICR line on a check.

Check numbering belongs to the bank account

Every template drawn on the same account shares one running sequence, so two templates can never hand out the same number. Printing a batch of nine claims nine consecutive numbers at once. Voiding a check does not return its number to the pool — the gap is intentional, and it is what your bank reconciliation expects.

Create a check template for your stock

A template is the paper, not the money: which stock you feed the printer, which third of the page holds the check, and where each field lands. Most stores need exactly one, marked as default.

Bank stock that already has the bank name, account details and a magnetic MICR line. ResaleOS overlays payee, date, amount, memo, mailing address and signature — and, on a voucher layout, fills the two empty thirds with payout stubs.

Blank check stock

Plain security paper. ResaleOS draws the entire check face — business header, bank line, fractional routing, field labels and an E-13B MICR line — from the bank account, plus both stubs. It needs the bank name, routing and account numbers on that account before it will print.

Pick where the check sits on the sheet — check on top, in the middle, on the bottom, or a fully custom layout — and whether you print on US Letter or A4. Then nudge fields into place by dragging them on the canvas or typing exact X/Y coordinates in points; arrow keys move the selected field a point at a time. Every field can be hidden, and a preview re-renders as you go. If you get lost, Restore default layout resets the positions without touching the template's name, stock type or bank account.

Position against a scan of your own stock

Upload a scan of your pre-printed checks and it appears behind the canvas as a backdrop, so you can line fields up against the real boxes and ruled lines. It is a layout aid only and is never included on the printed PDF.

Print one check or a whole run

On Accounts or on the Payouts table, tick the consignors you want to pay and choose Print checks from the actions menu. Only rows whose payout method is Check and whose amount is above zero are counted, so mixed selections are safe. Pick the template, optionally add a payout fee — a flat amount or a percentage of each consignor's own total — and print.

The fee is deducted from the balance drawn, so the face value of the check is the net the consignor receives. Every check in one run uses one template and one bank account, and they come out numbered in order.

What comes out of the printer

One sheet: the check, and the itemised stub twice

A voucher layout uses all three thirds of the page. The check goes in the third you chose; the other two get identical payout stubs — one to send with the check, one for your file.

Whoever the consignor asked to be paid — the Make check payable to field on their account wins, otherwise their name, company or email.

Amount, twice

The figure in the box and the same figure spelled out in words, so the check is negotiable.

Check number

Taken from the bank account’s running sequence and reserved the moment you print.

Mailing name & address

The consignor’s address, positioned to show through a window envelope so you can fold and send without a label.

Signature

The signature image saved on the bank account. Leave it empty and you get a blank line to sign by hand.

Voucher stub, twice

Item number, item name, sold price and the consignor’s net for every item the check settles — one copy for them, one for your file.

The stub footer reconciles the check for you: Payables (what came from sales) plus Adjustments (manual credits, released holds, payment credits) minus the Ck. Fee equals Paid Today. Lines are pulled oldest-first from the consignor's open balance and frozen onto the check, so a reprint next year shows the same items even if the underlying sales have since been edited. Long runs list up to 28 items and then summarise the rest.

Mark it mailed, then record the payout when it clears

Open a check from the Awaiting clearing list to switch it between Printed and Mailed, reprint the PDF, or void it. When the money actually leaves your account, record the payout — that is what debits the consignor balance and flips the check to Cleared.

Printed

The number is reserved and the stub is snapshotted. Nothing has moved yet.

Mailed

An optional middle state with a timestamp, so you can tell “sitting on the desk” from “in the post”.

Cleared

You recorded the payout. The balance is debited, the payout links back to the check, and the fee frozen at print time is applied. The payout amount has to match the printed check exactly.

Voided

For a check with no payout yet, voiding just marks it — there is nothing to reverse. If the payout was already recorded, void the payout instead and the check is voided with it.

Printing a check does not pay the consignor

Balances only move when you record the payout. Until then the check shows under Awaiting clearing, and the consignor's row on the Payouts table is flagged so nobody pays the same balance twice — a consignor can only have one uncleared check at a time. Record it or void it before printing another.

Getting it onto paper

Browser or desktop app

In a browser

The check PDF opens in a new tab and you print it from there. Browsers cannot print silently, so you will see the print dialog every time — set your check tray in it.

In the desktop app

Save a default check printer once and prints go straight to it, no dialog. It is saved per computer, so the machine by the check tray can differ from the one at the counter. Get the desktop app.

Payout reports have their own saved printer in the same settings section — the printed record of a payout run, listing what it covered, any fee and the balance left over. Handy if you want the checks in one tray and the paperwork in another.

Frequently asked

Where do I buy check stock?

Any standard three-per-page business check stock works, pre-printed or blank. Order it from your bank or an office supplier and match the template layout to which third of the sheet holds the check.

Is my bank data safe?

Routing and account numbers are stored so the server can draw a MICR line, and they are masked to the last four digits everywhere in the app. They are never sent back to the browser in full.

Who is the check made out to?

The Make check payable to field on the consignor's account, if it is filled in — useful for trusts, businesses and married names. Otherwise their name, then company, then email.

Can two staff share one sequence?

Yes. The sequence lives on the bank account, not on a person or a computer, and a batch claims its numbers atomically — so two people printing at the same moment still get non-overlapping numbers.

Can I reprint a check?

Yes, from the check detail panel or by selecting printed consignors and choosing Reprint. It regenerates the same numbers and the same stub, so a jammed sheet is not a lost check number.

Can I write checks for anything else?

Not yet — checks are for paying out the accounts in your Accounts list. Store-side bills and expenses belong in QuickBooks.

I do not see Check printing

The section only appears when Check is one of your enabled payout methods, in the same Account defaults page. Turn it on there and the section appears underneath.

Prefer to hand-write them?

Export a check CSV from the payout run instead — who to make each check payable to and for how much — and record the payouts once you have written them. Details in how consignor payouts work.
