Set up and manage consigner contracts in ResaleOS

Use consigner contracts to standardize your terms, collect digital signatures, and track who has signed. This guide walks you through creating terms, assigning them to consigners, sharing the portal, and confirming signatures.

What this feature does

  • Create reusable consignment terms with your own contract text.
  • Set rules like item expiration period and notifications.
  • Require consigners to accept the agreement digitally.
  • Track signed vs. not signed in your Accounts list.
  • Let consigners review and accept from their own portal.

Step 1: Create your consignment terms

Open Settings

  • Go to Settings.
  • Click Account defaults.

Add a new consignment term

  • Find the Consignment terms section and click to add a new one.
  • Set high-level rules:
    • Expiration action: choose what happens when an item expires (for example, return to consigner).
    • Term length: pick the period (for example, 90 days).
    • Notifications: choose to notify the consigner when terms are approaching expiration or expired.
    • Require signature: toggle on “Require consigner to accept the terms.”
  • Edit the contract body:
    • Use the template provided, or paste your own agreement text.
    • Make sure the terms match your store policies.
  • Name the template clearly (for example, “90-day return terms”).
  • Click Save.

Tip: Keep names short and specific so you can pick the right one later.

Step 2: Assign terms to a consigner

  • Go to the Accounts tab.
  • Click a consigner to open their profile.
  • Click Edit.
  • Find the Consignment terms field and select the template you created.
  • Click Save.

After saving, you’ll see the status for that consigner’s terms. If you required a signature, it will show “Not signed” until they accept.

Step 3: Share the consigner portal link

  • Go to Settings.
  • Click Consigner portal.
  • Copy the portal link.
  • Send this link to the consigner so they can log in and accept the agreement.

Tip: Add the portal link to your standard onboarding email or message template.

Step 4: What the consigner does

  • The consigner opens the portal link and logs in.
  • They are prompted right away to review the consignment agreement you assigned.
  • They review the terms, check the acknowledgment box, and click Accept and continue.
  • After accepting, they enter their consigner portal where they can:
    • See their items.
    • View their balance.
    • Review the agreement anytime.
    • Manage payout preferences.

Tip: Ask consigners to complete this step before you intake items to avoid delays.

Step 5: Confirm the signature in your dashboard

  • Go back to the Accounts tab.
  • Open the consigner’s profile you updated earlier.
  • Check the terms status. It will show that the terms have been accepted once signed.

You can also see signed/not signed at a glance from the Accounts list.

Good practices and notes

  • Require signature to keep everything paperless and auditable.
  • Use notifications to warn consigners before items hit their expiration date.
  • Version your templates (example: “90-day return v1,” “v2”) when you update terms.
  • If you change your agreement, assign the new template to the consigner to collect a new signature.
  • Test the full flow with your own consigner account to confirm wording and timing.
  • Keep contract language clear and consistent with your operational policies.
