How the QuickBooks integration works
Connect your QuickBooks Online company once and the bookkeeping stops being a monthly chore. Every sale, refund, consignor payable, payout and inventory movement posts itself — as the right kind of QuickBooks document, against the right account, with the consignor and SKU still readable on the line. Your accountant opens QuickBooks in January and everything is already there.
Real double-entry bookkeeping, not a CSV
This is not the End of Day export. ResaleOS talks to QuickBooks Online directly and creates proper documents — sales receipts, invoices, vendor bills, bill payments, credit memos, journal entries — so consignor money sits in accounts payable where it belongs and your income statement is right without anyone re-keying anything.
Transactions queue the moment they occur and land in QuickBooks within about a minute — not overnight, and not only when you remember to press a button.
Every document carries a ROS- reference number. Re-syncing finds what already exists and updates it instead of creating a second copy.
Tax is passed to QuickBooks natively, so it shows up in the Sales Tax Center rather than being buried in an income account. There is no tax mapping to configure.
QuickBooks Online only.QuickBooks Desktop is not supported. The integration is built and tested against US QuickBooks Online companies, where it leans on QuickBooks' own Automated Sales Tax.
Connect your company
Go to Settings → Integrations. Under Accounting you will find the QuickBooks Online card — open it and click Connect QuickBooks.
You will be handed to Intuit to sign in and pick which company file to connect, then dropped back on the ResaleOS settings page. One QuickBooks company connects to one ResaleOS store — if you run multiple stores, each one connects its own.
Your chart of accounts is set up during the connect. ResaleOS reads the accounts you already have, matches them, and creates only what is genuinely missing — so you do not end up with a duplicate "Sales" account. If you ever need to re-run it, the button is Set up for me.
Choose your deposit account
This is normally the only decision you have to make. It is the holding account customer payments land in before you deposit them at the bank — Undeposited Funds, if you use it.
The Sync card shows a readiness pill: Ready once the required accounts are mapped, or N/3 mapped while something is still outstanding. The three that must be set are the sales income account, the consignor payable account, and this deposit account.
Turn on Add transactions automatically
The toggle that actually starts the sync. Until it is on, nothing posts on its own — you would be pressing Sync now by hand every time.
Optionally set a Transaction start date first. That is how far back Sync now reaches when you run a backfill — leave it empty and it covers the last 30 days. Set it to the first day of your financial year if you want the whole year brought across.
What becomes what in QuickBooks
Every kind of event gets the document an accountant would have written by hand. Sales from every channel are included — marketplace orders, your storefront, and in-person POS sales all book the same way, with no channel filter to configure.
Sale lines stay readable: each one carries the product title, its SKU, and either the consignor's name or Store-owned. Buyer-paid shipping and any customer surcharges come across as their own lines.
The two preferences worth a thought
Everything else is set up for you. These two change how your QuickBooks file looks day to day, so they are worth deciding deliberately.
Matches each sale to a real QuickBooks customer. Turn it off and everything books to a single walk-in customer instead — tidier if you run a high-volume till and do not want thousands of one-time customer records.
Off, every line uses one shared item and the detail lives in the line description. Turn it on to give each product its own QuickBooks item — worth it for repeat SKUs, painful for one-of-a-kind resale inventory.
Account categorization lets you override which account each kind of amount books to — sales income, consignor payable, card clearing, cash, inventory asset, inventory purchases clearing, fee income, and the store credit, gift card and reward point liability accounts. Payout accounts sets which account each payout method draws from — check, cash, Zelle, Venmo, Cash App, PayPal, wire or other — with anything unmapped falling back to your cash account.
These are already configured after connect. Talk to your accountant before changing them.
Three ways things get posted
The main path. Transactions queue as they happen and post within about a minute, as long as Add transactions automatically is on. Failures retry on their own with backoff.
Saves your settings, retries anything that failed, and backfills from your transaction start date — or the last 30 days if you have not set one. Works even with the auto toggle off.
Once a day ResaleOS re-checks the last couple of days and re-posts anything that slipped through, then runs a drift check against QuickBooks.
What does not sync
Being clear about the edges saves you hunting for numbers that were never going to be there.
eBay, Poshmark, Stripe and Square fees are tracked in ResaleOS reporting but are not booked into QuickBooks as expenses. Your payout deposits will carry them.
Money lands in the deposit account you mapped. Moving it to the bank — and matching it there — stays a QuickBooks job.
Rent, utilities, software. The only bills ResaleOS creates are consignor bills and purchase-order supplier bills.
The sync is one-way. Nothing in QuickBooks changes your ResaleOS records — ResaleOS stays the source of truth for the documents it created.
If you also have Square's or Stripe's own QuickBooks app pushing sales into the same file, those sales will be counted twice — ResaleOS is already booking them. Disconnect the other app. ResaleOS shows a warning on the integration page when it spots this.
Troubleshooting
It says Reconnect required
QuickBooks expires a connection that has not been refreshed for a while, and Intuit will also end it if you revoke access on their side. Sync switches itself off so nothing is silently lost. Disconnect, then Connect QuickBooks again, and turn the sync toggle back on — your account mappings survive as long as you reconnect the same company.
Some transactions failed to sync
The page tells you how many and shows the latest error. Press Sync now — it puts failed items back in the queue. Most failures are a QuickBooks-side rule, like a closed accounting period or a required field the company file enforces.
I edited a ResaleOS document in QuickBooks
ResaleOS notices and tells you. Your edits are left alone — it will not fight you. If you delete a ResaleOS document, it gets reposted on the next sync, because ResaleOS still has the underlying sale.
Do I need a particular plan?
No. QuickBooks is available on every ResaleOS plan. You do need the channels permission on your team account to disconnect it.
I want my whole year brought across
Set Transaction start date to the first day of your financial year, then press Sync now. Large backfills are chunked, so run it once and let it work through rather than pressing repeatedly.
I connected the wrong company
Disconnect and connect again, choosing the right one. Switching to a different QuickBooks company clears the old account mappings on purpose, then re-runs setup against the new chart of accounts.
